Associate Director of Annual Giving and Communications

Overview

Celebrity Series of Boston is seeking an Associate Director of Annual Giving and Communications to join our 7-person (and growing!) Advancement team. This newly-created position is responsible for supervising the activity of Celebrity Series' Annual Fund and Dress Circle individual giving programs which bring in $650,000 of $3.3M annual fundraising revenue. This position will serve as the primary Advancement liaison to the Marketing Department, supervise the Assistant Manager of Annual Giving and Communications, and, with guidance from the Chief Advancement Officer, be responsible for individual donor-facing communications. 

Duties and Responsibilities:

Fundraising (40%)

  • Develop new direct fundraising strategies to achieve and exceed $650K Annual Fund ($1-$1,249) and Dress Circle ($1,249-$10,000) goals. Develop and supervise execution of annual plan each season. Supervise appeals, track progress toward goals, and measure direct fundraising ROI.
  • Manage vendor relationships and collaborate with direct fundraising strategists (Allegiance Fundraising) and Telefund subcontractors.
  • Supervise list pulls and provide leads for direct fundraising efforts; ensure all prospects are receiving personalized, appropriately segmented communications via social media, e-fundraising, direct mail, and Telefund. Collaborate with Advancement Operations to ensure appeals are tracked properly in Tessitura and that gift processing in conjunction with appeals proceeds efficiently.
  • Oversee copywriting vendors and/or serve as primary copywriter on for Advancement's individual giving appeals and communications.
  • Represent Advancement Department's voice on social media, at celebrityseries.org, and in e-communications as the Advancement Department's primary mass communicator. 
  • Proof donor listings and acknowledgement letters on behalf of the Annual Fund/Dress Circle donors.
  • Oversee annual solicitation strategy for $500-$9,999 donors who prefer to give through direct fundraising channels, and work with Associate Director of Leadership Giving to move donors along the cultivation spectrum into major gifts as appropriate.

Project Management and Communications (30%)

  • Manage Advancement department print/direct fundraising budgets.
  • Act as project manager for BRAVO!, Celebrity Series' Annual Report.
  • Ensure smooth project management of the Advancement department's individual giving communications with support from the Assistant Manager of Annual Giving and Communications.
  • Serve as QC/proofreader for individual Advancement communications and, occasionally, organization-wide publications.
  • Ensure accuracy in campaign reporting both on the input side (i.e. working with the Advancement Operations team to ensure campaigns are tracked in gift processing) and the output side (i.e. on contributed income tracking reports).

People Management (20%)

  • Supervise Assistant Manager of Annual Giving and Communications; support, grow, and coach the Assitant Manager toward maximum success. Ensure deadlines are met and that exemplary customer service is provided donors. Foster a culture of responsiveness and helpfulness.
  • Supervise part-time Telefund manager and their team of 2-3 Telefund callers. Provide strategic guidance and motivational coaching to ensure they meet agreed-upon goals and targets.

Leadership and Collaboration (10%)

  • Serve on the Advancement Department's management team and attend bi-weekly managers meetings. Represent mastery of and responsibility for the department's direct fundraising efforts.
  • Serve as the Advancement Department's primary liaison to Marketing; oversee weekly inter-departmental communications meetings. Advocate for donor needs in organization-wide communications campaigns as a right hand to the CAO.

Qualifications

  • At least 4-5 years of experience working in marketing and/or advancement/development environments. 
  • A strong track record of drafting and project managing successful membership and/or fundraising appeals to varied audiences. Oversight of direct fundraising strategy a plus.
  • Proven success in reaching sales/fundraising goals through direct marketing/fundraising channels and in measuring and improving ROI on direct solicitation efforts.
  • Experience working with CRM software; experience with Tessitura a plus.
  • Demonstrated customer service experience, ideally in patron or donor facing environments.
  • Supervisory experience of at least one direct report ideal, but those with a strong interest in people management are encouraged to apply.
  • Familiarity with Microsoft Office Suite (Outlook, Excel, Word, OneNote, and Teams) and Zoom preferred.
  • Ability to lift 10 lbs.

Telefunding Representative

Overview

This seasonal, fully-remote, part-time position is a great fit for people who are passionate about supporting the performing arts and are confident speaking with other arts-lovers over the phone. This position requires you to contact Celebrity Series donors and ticket buyers to secure contributions in support of our artistic excellence and our Arts For All! community engagement program. Day and evening shifts are available, with a minimum of 3 shifts per week (at least 2 in the evening) required.

All representatives will  receive a full paid training, which will include  instructions on using our web-based telephone dialing software. There are also regular coaching sessions and staff meetings via video conferencing. This is a supportive and fun work environment. This position is open to Massachusetts residents only.

Qualifications:

  • Must reside in Massachusetts.
  • Strong interest in the performing arts and arts education
  • Fundraising experience preferred, but not required
  • Proficient with Google Workspace
  • Strong computer skills
  • Highly organized, self-motivated with strong verbal communication skills

Part Time Office Associate 

Overview:

Celebrity Series of Boston is seeking an individual to work in support of the Administration and Finance department, particularly in service of the Celebrity Series office functions. The office associate will work in person in support of colleagues on administrative tasks.

Duties and Responsibilities:

  • Monitor the front desk, schedule visitors, and set up new employees with building access.
  • Effectively triage requests and questions to the correct department or individual and make recommendations on best practices when applicable.
  • Act as point of contact with building for maintenance requests.
  • Maintain contact information for vendors, and order food for office events.
  • Order office supplies, and track expenses in accordance to supply budget.
  • Support copier and postage machine maintenance.
  • Seek innovative ways to create and foster a positive work environment in the office.
  • Sort incoming mail and maintain staff mailboxes with staffing changes.
  • Set up new employees in the phone system and directory.
  • Add contacts for Advancement in Microsoft.
  • Oversee job postings in Breezy.hr, Hireculture.org, and website for the organization.
  • Process bills in Bill.com.
  • Monitor Billing email.
Qualifications:

  • Positive and professional demeanor with a genuine interest in helping others.
  • Excellent computer skills, with a competency in learning new technologies.
  • Organized with a high attention to detail.
  • Confident, thoughtful self-starter and finisher who is creative, collaborative, and team oriented particularly while working in a hybrid environment.
